The Texas Lottery Commission is seeking a Mail and Records Management Specialist to join its team at the Austin headquarters. This role involves performing routine staff services work such as handling incoming and outgoing mail, maintaining filing systems, coordinating records retention, and assisting with travel documentation. The position requires moderate supervision and offers limited latitude for initiative and independent judgment.

Key Responsibilities:

  • Mail Processing: Open, sort, review, and route mail; verify check information; process documents and forms; prepare documents for scanning.
  • Records Management: Monitor records retention schedule; coordinate records destruction; maintain recordkeeping systems.
  • Administrative Support: Prepare and proofread correspondence; coordinate meetings; assist with travel documentation.
  • Customer Service: Respond to inquiries; explain rules, regulations, policies, and procedures; greet visitors.
  • Training: Train or assist in training staff to ensure adequate coverage.

Qualifications:

  • Education: High school diploma or GED equivalent.
  • Experience: Minimum one year in an office environment, including customer service, data entry, and document processing.
  • Skills: Proficiency in Microsoft Word, Outlook, Excel; knowledge of office practices and administrative procedures; strong communication and organizational abilities.
  • Preferred Experience: Mail processing, state agency record retention, preparing correspondence, electronic imaging or document scanning systems.
  • Physical Requirements: Ability to lift file boxes up to 25 lbs, sit or stand for extended periods, and handle multiple tasks under deadlines.
